Sort or group tasks in Todoist

Get an overview of your lists in no time by sorting and grouping your tasks. Grouping collects tasks that share an attribute into sections. Sorting changes the order tasks appear in a list. For example, group tasks by assignee to see what everyone's working on, or sort by creation date to spot the task you've been putting off longest.

Note

Both sorting and grouping always apply to your tasks. When you group by project and sort by name, you're organizing how tasks are displayed: grouping tasks by their project and sorting tasks by name. You're not sorting the projects themselves.

Handy options to organize your tasks

Each project or view uses a default sorting order for tasks. If you want to organize your tasks for better visibility, you can group or sort tasks based on specific criteria:

Group tasks by

  • Date
  • Date added
  • Deadline
  • Priority
  • Label

Note

If a grouping option is applied to a project or view, you can't drag or manually reorder your tasks.

Sort tasks by

  • Manual
  • Name
  • Date
  • Date added
  • Deadline
  • Priority

Manual means you set the order yourself. Drag your tasks into the order you want, and Todoist keeps them that way instead of reordering them automatically. Manual sorting is only available in projects and in the Today and Upcoming views. Filter and label views always use their default sorting order and can't be manually reordered, even when no grouping option is applied.

Sorting by Name ignores logographs (for example: Japanese Kanji 漢字) and special characters, like å, ä, ö, æ, and ø.

Sort or group tasks

  1. Click a project or view in the sidebar.
  2. Click Display at the top-right. This opens a menu with several options.
  3. Click any of the following in the Sort section:
    • Grouping, and select how to group your tasks.
    • Sorting, and select how to sort your tasks.

Sorting or grouping options aren't shared with others in a project, so you can tweak your views and find which one works best without disrupting anyone.

Sort tasks in sections

Tasks are sorted within their own sections.

For example, if you have a priority 1 task in the last section of a project, and you sort tasks in this project by Priority, the priority 1 task will appear only at the top of the section. It won't appear at the top of the project.

Sort or group sub-tasks

When you sort a project, the sort applies to sub-tasks too, in both list and board layouts. For example, sorting by name also puts each parent task’s sub-tasks in alphabetical order. When you group tasks, sub-tasks aren’t shown under their parent task. Each sub-task appears in the group that matches its own details, such as its date or priority, and is sorted with the other tasks in that group. The task view always shows sub-tasks in their manual order, and sorting doesn’t change that saved order. To manually reorder sub-tasks, open the parent task in the task view.

  1. Tap Browse at the bottom-right.
  2. Tap a project or view.
  3. Tap the view icon at the top-right. This opens a menu with several options.
  4. Tap any of the following in the Sort section:
    • Grouping, and select how to group your tasks.
    • Sorting, and select how to sort your tasks. When this is applied, you'll see the Ordering menu to order tasks in ascending or descending order.
  5. Tap Done to confirm.

Add a task under a group heading

When you group tasks in the list or board layout, each group has an Add task button at the bottom. In the board layout, each group is a column. Tasks you add there get that group’s value, such as its date, priority, or label.

  1. Click Add task at the bottom of a group or column.
  2. Enter the task name and add any other details.
  3. Click Add task to save the task.

When you group tasks by project, date, deadline, priority, or label, each set of tasks appears under its own group heading in the list layout, or in its own column in the board layout. Tasks you add to a group get that group’s value already filled in.

  1. In the list layout, tap the Add icon to the right of a group heading. In the board layout, tap Add task at the bottom of a column.
  2. Enter the task name and add any other details.
  3. Tap the submit button to save the task.

In the list layout, the Add icon also appears next to each date in the Upcoming view. It doesn’t appear when tasks are grouped by assignee, workspace, or date added, or next to the Overdue heading or headings without a value.

In Todoist for Android, you can add a task to a group when the project or view uses the board layout. Each column has an Add task button at the bottom. Tasks you add there get that column’s project, date, priority, label, or assignee.

  1. Tap Add task at the bottom of a column.
  2. Enter the task name and add any other details.
  3. Tap the send icon to confirm.

In the list layout, you can’t add a task to a group.
